Documents — beyond the basic checklist

Standard self-drive requirements (driving licence, photo ID, security deposit) apply, but for outstation specifically, also carry: vehicle registration certificate (RC) copy, insurance copy, PUC certificate. The operator hands these over at pickup — keep them in the glove box.

For inter-state trips, especially to/from Karnataka, Tamil Nadu, and the North-East, some entry checkposts may ask for the rental agreement copy. Carry a printed or PDF version.

Always note the operator's emergency contact number on your phone before leaving — for breakdown assistance, traffic challan handling, or police verification needs.

Route planning — what to confirm before booking

Distance and time: use Google Maps for current traffic but add 25-30% buffer for unexpected stops. A 600 km drive is rarely 8 hours — plan for 10-11.

Fuel station availability: most highway routes are fine, but Spiti, Ladakh, parts of Arunachal need careful fuel planning. Confirm fuel stations on your route before booking specific cars (especially diesel/CNG).

Toll and inter-state tax: factor toll charges into your budget. Long round-trip routes like Mumbai-Goa accumulate a meaningful toll bill — exact figure depends on highway alignment. Some states levy entry tax on private vehicles — operator will inform you upfront.

Hill station readiness: if your route includes hills above 2,000m altitude, ensure the rental car has been recently serviced. Hill driving is harder on the engine.

Kilometre limits — the most common surprise

Almost every self-drive plan has a daily km limit (typically 200-300 km/day). For outstation, this is too low — cross 300 km easily on highway days.

Solution: negotiate an unlimited km outstation package upfront. Most operators offer this as a slight per-day premium starting from a base rate that varies by car class. Usually cheaper than paying extra-km charges later (per-km rate scales with car class).

If you accept the standard cap, track your odometer daily. Don't discover at return that you've crossed by hundreds of kilometres and owe a meaningful extra-km bill.

Fuel strategy

Most rentals follow a "same-to-same" fuel policy — return the car at the same fuel level as pickup. Carsavaar marks fuel level on the rental agreement at delivery, with photographic proof.

Refuelling tip: top up at known-quality stations (HP, IOC, Shell on highways). Avoid small village stations for adulteration risk — bad fuel can damage the engine and you're liable.

For round trips, plan fuel stops at the halfway points to avoid running low. Carry a small jerry can if heading to remote routes.

Pre-trip checklist (15 minutes at delivery)

Tyres: tread depth above 3mm, no visible cuts, correct air pressure (32-35 psi typical). Spare tyre + jack + spanner present.

Lights: headlights low/high beam, brake lights, indicators, hazard lights, fog lights all working. Test before leaving.

AC: full cooling within 5 minutes. Test rear vents too if you'll have backseat passengers.

Documents: RC, insurance, PUC inside the glove box. First aid kit + fire extinguisher (for SUVs/MUVs) present.

Document existing scratches and dents in writing on the agreement, with photos. Otherwise you may be charged at return.
